This policy describes the appointment and reappointment of Assistant Deans in the School of Medicine (鈥淪oM鈥). An Assistant Dean normally assists and reports directly to an Associate Dean of the SoM. In some cases, an Assistant Dean may report directly to the Dean.
Assistant Dean positions are excluded from the Faculty Association bargaining unit.
II. ROLE AND AUTHORITY OF AN ASSISTANT DEAN
The role of the Assistant Dean normally includes monitoring and managing the academic operations of a specific unit. In addition, they support the advancement of the SoM鈥檚 programs and activities, make recommendations to the Associate Deans or Dean on matters pertaining to the school, and other duties as may be assigned by the Associate Dean or Dean.
A Dean may delegate decision-making authority to an Assistant Dean. The Dean may revoke any delegated authority at any time. Any such delegation or revocation must be set out in writing by the Dean and communicated to the Assistant Dean in accordance with Policy GP 08.
III. APPOINTMENT, REAPPOINTMENT, AND PRO TEM APPOINTMENT PROCEDURES
Assistant Deans must hold an underlying SoM faculty appointment. Normally, the underlying appointment will be as a Clinical Faculty, but Assistant Deans may also be appointed from the ranks of Medical Research Faculty. Normally, the term of an Assistant Dean appointment or reappointment is for a period of three or five years.
Assistant Dean appointments are concluded by the Dean and supported by a letter of appointment confirming in writing the terms and conditions of the appointment or re-appointment. The appointment letter must set out responsibilities, remuneration, and termination terms for the appointment. In all cases, acceptance of the appointment of Assistant Dean must be confirmed in writing.

B. Reappointment
Where an Assistant Dean reports to an Associate Dean, the Associate Dean may recommend reappointment of an Assistant Dean to the Dean. Consideration for reappointment will take place only if the Dean and the incumbent Assistant Dean agree to consider the extension, and after consultation with the appropriate Associate Dean. As appropriate, the Dean may conduct a vote of the faculty. Any such vote will inform the Dean鈥檚 decision but will not be binding. Underlying faculty appointments and appointments as Assistant Dean, although distinct, may be made concurrently.
C. Pro Tem Appointment
The Dean may designate in writing that an individual take on the role of Assistant Dean in a pro tem capacity where the incumbent鈥檚 appointment has ended and a successor has not yet taken office. Any such designation normally will not be for a period of more than 12 months.
IV. REMUNERATION AND OTHER SUPPORTS
In addition to the underlying faculty appointment salary, the Assistant Dean will receive an administrative stipend and may also be granted other supports (e.g., research grants) at the Dean鈥檚 discretion. All forms of remuneration and other supports provided will be documented in the appointment letter.
For Assistant Deans with underlying Medical Research Faculty appointments, The Dean may assign an annual salary increase, based on performance, to the underlying faculty salary of an Assistant Dean.
This policy will be reviewed at least annually. Questions of interpretation or application of this policy shall be referred to the Provost and Vice-President Academic, whose decision shall be final.
