Description, purpose and use of records

This RRSDA covers records made and received by academic departments, documenting non-credit student's academic histories from admission to program/course completion.

Records include identification information (including name, date of birth, contact information, etc.), application information (including transcripts, previous credentials, employer contact information, resume/research statement, etc), course/program information (include name of program, certification, start/end date, partnership information, etc.).

These records are created, used, retained and managed in accordance with the following authorities:

  • University Act (RSBC 1996, c. 468)
  • Freedom of Information and Protection of Privacy Act (RSBC 1996, c. 165)

 

Retention rationale

Maintaining and preserving a permanent record of non-credit students, courses and programs is a responsibility of the University. As such, core information about non-credit students academic histories must be retained permanently.

For all other non-permanent records a total retention period of five years after graduation or withdrawal date provides sufficient passage of time for re-admitting withdrawn students and for consultation of applications/files when providing letters of reference for program/course graduates.

 

Retention and filing guidelines

The core record should consist of the following information:

- name of student
- date of birth
- contact information
- course(s)/program(s)
- start/end dates for course(s)/program(s)
- course(s)/program(s) grade(s)
- credentials assigned
