SCA EVENT PLANNING

Events at the SCA

While we try to support independent events by SCA students here at 大象传媒's Goldcorp Centre for the Arts (GCA), the SCA has only limited capacity for events beyond what we run as part of the normal academic year, which is primarily full of events that are connected to undergraduate SCA courses, SCA graduate work, and events initiated by SCA faculty.

In addition, the GCA is not only home to the SCA, but also Goldcorp Centre for the Arts Production and Event Services (GCAPES), and is regularly used by 大象传媒's  to host events in the GCA's venues for 大象传媒 proper. All of this activity makes for a busy schedule for the GCA and its venues, as well as for the staff of GCAPES, which provides technical and front-of-house staff for most events, and also operates the GCA's box office.

How to Propose an Event (for SCA students)

Amidst all of the SCA's activity, there is a process for current SCA students and the SCA Student Unions to propose small-scale events, depending on the availability of remaining time, space, and support beyond the SCA's existing schedule.

Please note: All events require lead time, especially events that are separate from the SCA's typical schedule of events. To best improve the chances of your event finding support, it's necessary to begin making your proposal at least three (3) months in advance.

Before you make your booking proposal, please read the SCA's Room Booking Policies & Procedures.

Here are the steps to propose an event at the SCA:

  1. Find an SCA faculty member or one of the SCA Student Unions to sponsor your event.
  2. The sponsor will need to work with you to complete an Internal SCA Event Proposal form.
  3. The completed Internal SCA Event Proposal form will be reviewed at the next monthly meeting of the SCA's Programming Committee (SCAPC), which will evaluate the proposal and consider the availability of time, space, and support.
  4. If the SCAPC decde to program the proposed event, the SCA Production & Events Manager will follow up to talk through the technical needs, venue plan, and all other related plans and requirements for the event, including SCA promotion.
  5. Have a good time!

Internal SCA Event Proposal (for SCA Faculty)

Access the online Internal SCA Event Proposal form HERE.

Event proposals will be evaluated at the next monthly meeting of the School for the Contemporary Arts Programming Committee (SCAPC). If any early clarification is necessary, the SCA Production & Events Manager (scaprod@sfu.ca) will follow up before your Event Proposal goes to the SCAPC. The SCA Production & Events Manager will also follow up after the SCAPC has made its evaluation to talk through your technical needs and venue plan, and to discuss any necessary requirements and extra processes, such as organizing ticketing, Front of House support, ushers, catering, and any other event-related plans and needs.

Other Steps

After you've submitted the online Internal SCA Event Proposal, and depending on the character of your event, there are two other PDFs that the SCA Production & Events Manager will help you complete if you need support from Goldcorp Centre for the Arts Production and Event Services (GCAPES) and the use of the Box Office. You can download them here in advance, as necessary:

It is suggested to go through and fill out these forms alongside the SCA Production & Events Manager.
