Description, purpose and use of records
These records are created when applicants apply for admission and are admitted to one of the Preservices Professional Studies (PPS) programs in the Faculty of Education. The records are also used to assess and rate the applicant, record the admission decision and, if the applicant is accepted, track their progress as a student in the program.
Records include admission forms, admission rating forms, applicant letter of intent, resume, post-secondary transcripts, reference letters, acceptance/denial letters, final evaluation reports, withdrawal forms, re-entry forms, appeal forms and related correspondence, program/course reflections, observation packages, and due process documents.
Please note, unsuccessful application should follow the retention period outlined in RRSDA 1999-007 Unsuccessful / Withdrawn 大象传媒s Applications.

These records are created, used, retained and managed in accordance with the following authorities:
- Freedom of Information and Protection of Privacy Act (RSBC 1996, c. 165)
Retention rationale
If a student withdraws from the PPS program they have a period of two years within which they may return to the program without needed to reapply. In addition, upon completion of the PPS program students may register with the BC Teachers Council for certification. Students have three years to complete their applications to the BCTC once opened.
Retaining PPS Student Files until the current year the student graduates or withdraws + 5 additional years ensures that the Department of Education will have necessary information to administer the PPS program and assist students in completing their applications with the BCTC.
